Job Description

About the Position

Provide a full range of timely confidential administrative and executive support and related services to the Director Families, Healing and Response including, diary management, organising meetings, workshops and seminars, coordinating travel and accommodation arrangements, overseeing the movement of documents and files, support in preparing high quality documents, reports, letters, submissions and related material to support the Directors day-to-day activities.

Key Responsibilities 

Information Management 

  • Manage and organise electronic and paper files, ensuring easy access to critical information.
  • Maintain confidentiality of sensitive documents and information.
  • Manage sensitive information with the utmost confidentiality.
  • Manage a high volume of emails, ensuring timely responses and effective organisation of correspondence for the Director.

Calendar Management 

  • Coordinate and manage the executive's schedule, including meetings, appointments, and travel arrangements.
  • Prioritise and schedule meetings based on the Directors priorities and the Families, Healing and Response Unit’s objectives.

Communication

  • Act as the primary point of contact between the Director and internal/ external stakeholders.
  • Draft, proofread, and edit correspondence, emails, and other documents as needed.

Meeting Support 

  • Prepare agendas, documents, and presentations for meetings.
  • Attend meetings (where required), take accurate minutes, and distribute follow-up action items.
  • Arrange and organise travel itineraries, including flights, accommodation, and transportation (where required).
  • Handling tasks such as booking meeting venues, coordinating catering services, and ensuring the availability of all necessary resources for seamless and successful meetings.

Proven Administrative Skills

• Demonstrated experience in providing high-level administrative support to executives, showcasing proficiency in organizing calendars, scheduling appointments, and managing correspondence.

Discretion and Confidentiality

• Proven ability to handle sensitive information and maintain confidentiality, showing a high level of professionalism and integrity in dealing with executive matters.

Communication Skills

Strong written and verbal communication skills with the ability to draft professional emails, prepare documents, and communicate effectively with internal and external stakeholders.

• Ability to collaborate and communicate effectively with team members, executives, and other stakeholders, fostering a positive and supportive working environment.

Organisational Skills

• Exceptional organizational and multitasking abilities, demonstrated through successful coordination of meetings, travel arrangements, and handling various tasks concurrently.

• Proven time-management skills, with the ability to prioritize tasks effectively, meet deadlines, and handle competing priorities while maintaining a high standard of work.

• Ability to adapt to changing priorities, work independently, and remain flexible in a dynamic work environment, ensuring continued support for executives in various situations.

• A track record of effective problem-solving and decision-making, showcasing the ability to anticipate issues, propose solutions, and follow up tasks in a fast-paced environment.

• Demonstrated initiative and proactivity in identifying opportunities for improvement, streamlining processes, and implementing efficient solutions to enhance executive support.

• Keen attention to detail in all aspects of work, including written communication, document preparation, and logistical arrangements, ensuring accuracy and precision.
